In plain language: This policy explains what information ReadyForce collects when you use our website, request a quote, call us or apply for a job, how we use it, who we share it with and how to reach us about it. We do not sell personal information.

1. Who we are and what this policy covers

In plain language: ReadyForce is the company behind this website. This policy covers the website and the ways you contact us through it.

ReadyForce Industrial Services Inc. ("ReadyForce", "we", "us" or "our") operates the website at ReadyForceIND.com (and readyforceind.com) and its subdomains (the "Site"). ReadyForce brings together the businesses formerly operating as Ready Machinery, Valley Mechanical and Begley Overhead Doors. Personal information those businesses collected before the transition is now held by ReadyForce under this policy.

This policy applies to personal information we collect through the Site, including quote and contact forms, uploaded documents, career applications, phone calls to numbers shown on the Site, and information collected automatically when you browse. It also applies to personal information we collect when you deal with us by phone or email after starting on the Site, to personal information you provide when you enter a contest or promotion we run, and to the text messages and emails you agree to receive from us.

This policy does not cover information about our employees, which is handled under our internal personnel policies. It does not cover third-party websites we link to.

"Personal information" means information about an identifiable individual. Much of what we collect on this Site is business contact information: your name, job title, company, work phone number and work email, provided so we can deal with you in your professional role. Canadian privacy law treats business contact information differently when it is used only for that purpose. We still handle it with care and as described here.

2. Information we collect

In plain language: We collect what you type into our forms, the documents you choose to upload, details about calls to our tracking numbers, and standard technical information about your visit.

Information you give us

  • Quote and contact requests: your first and last name, company, email, phone number, the postal code of the job site, the division or topic you are asking about, and anything you write in the message field.
  • Tender and RFQ documents: files you upload with a quote request (PDF, Word or ZIP). These may contain drawings, specifications, site details and the names and contact details of people at your company or your consultants.
  • Career applications: when you apply through the application form on the Site or by email, your name, contact details, resume, work history, trade certifications and licences, and anything else you include in an application.
  • Correspondence: emails, calls and messages you exchange with us after contacting us through the Site.
  • Contest and promotion entries: your name, company, email address and mobile phone number, your answers to any entry or skill-testing question, and, if you win, the information we need to confirm eligibility and deliver the prize. Entering a contest is separate from agreeing to receive marketing from us; we ask for that separately.

Information we collect automatically

  • Website usage: your IP address, browser and device type, operating system, the pages you view, links and buttons you click, files you download, how you arrived at the Site and approximate location derived from your IP address. We collect this through cookies and similar technologies described in Section 6.
  • Phone calls: the phone numbers shown on the Site are call-tracking numbers. When you call one, our call-tracking provider records the number you called from, the number you called, the date, time and length of the call, and the web page or campaign that led to the call. Calls to these numbers are recorded for quality, training and record-keeping purposes. You will hear a notice at the start of the call. If you prefer not to be recorded, tell the person who answers and they will arrange another way to help you.

Information from other sources

We may receive information about you from your employer or colleagues (for example when a colleague names you as the site contact for a job), from public sources such as company websites and professional networks, and from references you provide with a job application.

We do not ask for sensitive personal information such as health information, government identification numbers or financial account details through the Site. Please do not include this kind of information in a message or an uploaded document unless we specifically ask for it for a job application or safety requirement.

3. How we use information

In plain language: We use your information to respond to you, quote and perform work, hire people, keep our Site working and understand how it is used.

We use personal information for the following purposes:

  • To respond to quote requests, contact requests and emergency service enquiries, and to prepare and send quotes.
  • To plan, schedule, perform, invoice and support the work you hire us to do, including site access, safety coordination and follow-up.
  • To review job applications, contact applicants, verify certifications and references, and make hiring decisions.
  • To communicate with you about work in progress, service reminders and safety notices.
  • To operate, secure and improve the Site, including measuring which pages and campaigns lead to enquiries and calls.
  • To run contests and promotions, including confirming eligibility, selecting and notifying winners, delivering prizes and meeting our record-keeping obligations under contest law.
  • To send you marketing by email or text message about our services, promotions and news, where you have given us express consent to receive it (see Section 9).
  • To protect our legal rights, prevent fraud or misuse of the Site, and comply with legal, regulatory, tax and health and safety obligations.

Where Canadian privacy law requires consent, we rely on the consent you give when you submit a form, upload a document, call us or continue to use the Site after seeing our cookie notice. Where consent is implied because the purpose is obvious and reasonable (for example, using your phone number to call you back about the quote you requested), we rely on that. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us as set out in Section 14. Withdrawing consent may mean we cannot respond to your request or perform the work.

4. How we share information

In plain language: We share information with the people and companies that help us run our business and deliver the work. We do not sell it.

We do not sell personal information and we do not share it with third parties for their own marketing. We do share personal information in the following circumstances:

  • Within ReadyForce: with our divisions (Machinery Movers, Millwrights, Mechanical, and Overhead Doors and Docks) and with staff who need it to respond to you or perform the work.
  • Service providers: companies that host our Site and systems, provide email and business software, run our forms and applicant tracking, provide website analytics and call tracking, send our email and text messages, and support our IT. These providers may only use personal information to provide services to us.
  • Subcontractors, suppliers and manufacturers: where we need to involve them in quoting or performing your work, for example a door or dock equipment manufacturer, a crane or transport partner, or an engineering consultant. We share only what the job requires.
  • Contest partners: if a contest prize is supplied or fulfilled by a third party, we share the winner's name and delivery details with that party for that purpose only. Where contest rules allow, we may publish a winner's first name, last initial and city.
  • Professional advisers: our lawyers, accountants, insurers and auditors.
  • Authorities and legal requirements: where required by law, regulation, court order, or a lawful request from a government or regulatory body, including workplace safety regulators, or where we believe disclosure is necessary to protect our rights, safety or property or those of others.
  • Business transactions: if ReadyForce or a division is sold, merged, financed or reorganized, personal information may be shared with the parties involved and their advisers, under confidentiality obligations, and transferred to a successor.

If you post a public review of our work on a third-party platform such as Google, that review and any personal information in it are public and governed by that platform.

5. Payment information

In plain language: You cannot pay through this website, so we never see or store card details through it.

The Site does not take payments. We invoice work directly and accept payment by the methods stated on the invoice. If you pay by card through a payment provider we direct you to, that provider handles your card details under its own privacy policy; we do not store full card numbers.

6. Cookies, analytics and online advertising

In plain language: We use cookies and tags to run the Site, measure how it is used and show ReadyForce ads to people who have visited. You can opt out through your browser and your Google Ads settings.

Cookies are small files placed on your device by a website. We also use pixels, local storage and tag management scripts that do similar jobs. Together, this policy calls them "cookies". We use them for the following purposes:

  • To make the Site work: cookies that keep the Site secure and loading correctly. These cannot be switched off.
  • To measure use of the Site: Google Analytics 4, loaded through Google Tag Manager (both provided by Google LLC), records pages viewed, buttons clicked, files downloaded, videos played, forms submitted and the way visitors arrive at the Site, together with device, browser and approximate location from IP address. We use this to understand which content and campaigns lead to enquiries. Google processes this information in the United States.
  • To track calls: our call-tracking provider (CallRail, Inc.) shows you a phone number that matches how you arrived at the Site, so when you call we know which page or campaign brought you to us, and links the call to your browsing session. CallRail processes this information in the United States.
  • To advertise: we use Google Ads and similar advertising platforms to measure our campaigns and to show ReadyForce advertisements to people who have visited the Site, on Google services and on other websites. These platforms set cookies and may combine information about your visit with other information they hold under their own privacy policies.
  • Embedded content: Google Maps and embedded video players may set cookies when you use them, under the privacy policies of those providers.

You can control cookies in several ways. Your browser settings let you block or delete cookies; your browser's help pages explain how. You can opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout. You can turn off personalized advertising from Google at adssettings.google.com, and opt out of interest-based advertising from participating companies through the Digital Advertising Alliance of Canada at youradchoices.ca. Blocking cookies may affect how parts of the Site work. We will update this section when the tools we use change.

7. How long we keep information

In plain language: We keep information as long as we need it for the reason we collected it, then we delete or anonymize it.

We keep personal information for as long as reasonably necessary for the purposes described in this policy, and afterward for as long as we need it to meet legal, tax, health and safety, insurance and warranty obligations, or to resolve disputes. We maintain internal retention practices that set how long different records are kept.

When personal information is no longer needed, we delete it or anonymize it so it can no longer identify you. Where we use personal information to make a decision that directly affects you, we keep that information for at least one year so you can request access to it.

8. How we protect information

In plain language: We use reasonable safeguards. No system is perfectly secure, so we cannot guarantee security.

We protect personal information with physical, organizational and technical safeguards appropriate to its sensitivity, including access controls, encryption in transit, secure hosting, and contractual obligations on our service providers. We limit access to staff and providers who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.

9. Marketing by email and text message

In plain language: We only send marketing email or texts if you have said yes. You can stop at any time by unsubscribing or replying STOP.

Where you have given us express consent, for example by checking an unchecked box on a form or contest entry, we may send you marketing messages about our services, promotions and news by email and by text message (SMS). We will only ask for that consent separately from any other request, and entering a contest or requesting a quote is never conditional on agreeing to receive marketing.

Every marketing message will identify ReadyForce and tell you how to stop receiving messages. You can unsubscribe from email using the link in any message. You can stop text messages at any time by replying STOP, and reply HELP for assistance. Message and data rates may apply, and message frequency varies. Transactional and service messages, such as quotes, scheduling, safety notices, invoices and contest winner notifications, are not marketing and will continue after you unsubscribe.

We keep a record of the consent you give, including when and how you gave it, as Canadian anti-spam law requires.

10. Where information is processed

In plain language: Some of our providers store data outside Canada, mainly in the United States, where different laws apply.

ReadyForce is based in Ontario. Some of our service providers, including our website analytics, tag management, mapping and call-tracking providers, our email and text messaging platforms, and our website hosting, store and process information in the United States and other countries. While information is outside Canada it may be accessible to the courts, law enforcement and national security authorities of that country under its laws. We use contractual and organizational measures to require our providers to protect personal information to a standard comparable to Canadian law.

11. Your privacy rights

In plain language: You can ask what we hold about you, ask us to correct it, withdraw consent, or complain. We respond within 30 days.

Under Canadian privacy law you may:

  • Ask whether we hold personal information about you, and request access to it, including how we have used it and who we have disclosed it to.
  • Ask us to correct inaccurate or incomplete personal information. If we do not agree the information is inaccurate, we will note your request on the file.
  • Withdraw your consent to our collection, use or disclosure of your personal information, subject to legal and contractual restrictions.
  • Ask us to delete personal information we no longer need for the purposes described in this policy or for a legal requirement.
  • Ask questions or make a complaint about how we handle personal information.

To exercise these rights, contact our Privacy Officer using the details in Section 14. We may ask you to verify your identity before we act on a request. We will respond within 30 days, or tell you in writing if we need more time and why. Access to some information may be limited where the law allows, for example where it would reveal personal information about another person, is subject to legal privilege, or is confidential commercial information. If we refuse a request in whole or in part, we will tell you why and what recourse you have.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.

12. Job applicants

In plain language: If you apply for a job, we use your application to consider you for the role, and we keep it for a limited time.

When you apply for a job through the application form on the Site or by email, we use your application to assess your suitability for the role you applied for and, with your permission, for similar roles. We may verify trade certifications, licences and references you provide, and we may conduct background checks where a role requires it, which we will tell you about first. Application information is shared with the hiring managers and HR staff involved in the decision and with any applicant tracking or background check provider we use. We retain unsuccessful applications for a limited period in line with Section 7, unless you ask us to keep or delete them sooner. Accommodations are available throughout the recruitment process on request.

13. Children

In plain language: Our Site and contests are for businesses and adults. We do not knowingly collect information from children.

The Site and our contests are intended for adults who have reached the age of majority in their province and for businesses, including adults seeking employment. The Site is not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.

15. Changes to this policy

In plain language: When we change this policy, we will post the new version here with a new effective date.

We may update this policy from time to time to reflect changes in our practices or the law. The version posted on the Site, with its effective date, is the current one. If a change materially affects how we use personal information we have already collected, we will take reasonable steps to notify you and, where required, seek your consent.
